Position Summary

The Assistant Director of Student Financial Services (SFS) is responsible for assisting in the administration of all federal, state, and institutional financial aid programs. This includes ensuring quality delivery of service, documenting policies and procedures, and adherence to all federal, state, and institutional policies. This position is also responsible for managing the Washington State student aid programs, the Satisfactory Academic Progress process, overseeing payment plans, assisting with weekly disbursements, and completing various federal, state, and institutional reports.

Essential Functions

  1. Has a mastery of all jobs within the scope of Student Financial Services and is able to assist and train counselors. Able to assist in making decisions on complex student/family issues related to offers of financial aid.
  2. Communicates effectively in a professional, tactful, and courteous manner with students, employees, faculty, and the public.
  3. Responsible for overseeing the compliance, disbursement, and reconciliation of the Washington State student aid programs (Washington College Grant, College Bound Scholarship, Opportunity Scholarship, etc.). Also responsible for accurate reporting, ensuring compliance with state regulations, and training staff in the awarding and disbursement of State aid.
  4. In collaboration with the Provost and Academic Success Offices, administers the Satisfactory Academic Progress process for all programs. Develops and runs reports, analyzes compliance, generates letters, and ensures the process is coordinated in a timely manner. This process is completed annually for all students and by semester for those on an academic plan.
  5. Oversees the payment plan process, which includes running reports, monitoring student accounts, and setting up processes for a student employee to manage.
  6. Understands and executes the disbursement process for all modalities. This includes monitoring of Pell Multiple Records Reports (MRRs), submitting records to the Common Origination and Disbursement (COD) web site, and completing reconciliation as required for the various student aid programs.
  7. When new staff join the SFS team, this position is responsible for developing, implementing, and maintaining a comprehensive training program to establish strong foundational knowledge in financial aid procedures, federal and state regulations, and institutional processes.
  8. Assists and/or completes various annual reports, which include IPEDS, URR, and various surveys in which NU participates (CCCU, Peterson’s, US News Best Colleges).
  9. Assists in preparation of documents and information for annual Federal Audit.
  10. Assist in reviewing processed financial aid files for accuracy, completeness, and adherence to federal, state, and institutional regulations.
  11. Responsible for hiring, supervising, training, assigning tasks, and evaluation of up to three full-time employees and two student employees. 
  12. Performs other work-related duties as assigned.

Education/Experience/Skills

  1. Detail oriented.
  2. Strong math and computer skills (Excel, Word, PowerFAIDS).
  3. Minimum five years’ experience in financial aid.
  4. Bachelor’s degree.
  5. Thorough knowledge of all financial aid programs and related legislation, regulations and reporting procedures.
  6. Ability to work independently and to be part of the financial aid/enrollment team.
  7. Strong public speaking skills.
  8. Excellent customer service skills.
  9. Demonstrated commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
  10. Ability to communicate effectively, get along well with co-workers, and deal effectively and professionally with colleagues.

Working Environment

  1. Work is generally performed indoors in a typical office setting.
  2. Position works with confidential information.
  3. Frequently required to be in front of a computer screen for long periods of time.

Physical Demands

This position involves primarily working at a desk with a computer screen. Occasional standing, crouching, and kneeling may be needed for working with the filing systems. The ability to work with computers and phones is essential to the position.

Compensation

Based on education and experience, the position has a hiring range of $27.50/hour to $29.92/hour plus excellent benefits.
